  • Member Access: Account registration and access are managed for active team members. You may update your profile or request account removal through team leadership at any time.

BYF (“Built For Youth”, “BYF App”) is an internal, private application designed and built specifically for the members, leaders, and volunteers of our youth team and worship ministry.

BYF is not a commercial platform or a public service open to general public registration. Access is restricted to authorized team members and invited volunteers.

This Privacy Policy explains how team member information is handled to support internal team coordination, worship setlists, scheduling, and practice tools.

When you log into your team account, we collect:

  • Name, email address, and profile photo
  • Vocal part, instrument, and team role assignment
  • Worship setlists, song arrangements, and comments
  • Member availability, rehearsal RSVPs, and schedule preferences
  • Internal quiz responses, team activity, and practice track uploads

Technical & Security Data

To ensure secure access for our team, we collect:

  • Device model, OS version, and app build version
  • Firebase App Check device attestation tokens
  • Push notification delivery tokens (FCM)
  • Crash reports, diagnostics, and email verification status

How We Use Team Data

All data collected is used strictly for internal youth team operations:

  • Managing team membership and role-based access control (RBAC)
  • Organizing worship setlists, rehearsal rosters, and availability schedules
  • Powering internal team practice tools (audio stem separation and lyric OCR scanning)
  • Sending push notifications for setlist assignments, schedule updates, and rehearsal reminders
  • Providing AI team assistance (powered by Firebase AI / Google Gemini) for productivity
  • Authenticating accounts and protecting team tools via Firebase App Check

BYF sends push notifications via Firebase Cloud Messaging (FCM) to keep team members aligned on setlist changes, rehearsal schedules, availability checks, and team announcements. You can manage notification permissions through your device settings.

AI Team Tools & BYF Assistant

AI & Productivity Features (BYF Assistant)

Internal AI tools (powered by Firebase AI / Google Gemini) assist team leaders and volunteers with setlist organization, chord lookup, and app navigation via BYF Assistant.

Ephemeral Messages & Selective Context Memory: Chat messages are transient by default. The AI selectively retains key context clues (such as vocal part, role, or active setlist) to maintain conversation continuity across sessions.
Zero Custom Model Training: Data, prompts, context clues, and team inputs sent to AI features are never used to train, retrain, fine-tune, or improve custom or public AI models.
AS-IS Warranty & Unpredictability Disclaimer: AI features are provided strictly on an AS-IS and AS-AVAILABLE basis with no guarantees of response accuracy. While technical safeguards and safety filters are enforced, generative AI outputs are probabilistic and may occasionally produce unpredictable content. Users should verify critical details.

Quizzes & Practice Media

Internal quizzes allow team members to test their knowledge during team sessions. Audio tracks uploaded for stem separation are processed securely via cloud processors (Modal) to generate practice stems. Lyric scans are processed using on-device ML Kit OCR.

Backend Infrastructure

Backend Infrastructure

We do not sell team data to advertisers or third parties. We utilize essential backend infrastructure services to host and operate the application:

  • Firebase (Google): Authentication, Firestore database, App Check security, push notifications, and Gemini AI tools.
  • Appwrite: Secure cloud file and media storage.
  • Modal: Cloud compute infrastructure for audio stem processing.
  • Resend & Emailable: Transactional emails and team account verification.
Data Retention & Access

Data Retention & Account Management

Team member account profiles and roster history are retained as long as you are an active team volunteer or member. If you leave the team or wish to remove your account, contact team leadership or use the in-app deletion option to remove your personal identifiers.
